Title: Project Manager
Contract Duration: January - June 2025 (training week in October or November) - Filled
Schedule: Negotiable 10-15 hours per week
Location: Remote, in Studio and on Event locations as needed
Our downtown Studio (323 10 AVE SW) and on Location at Events (Within Calgary, Canmore, Banff)
This role is for a responsible, autonomous, initiative driven and reliable person with management / logistical planning experience in the event industry.
Duties will include:
Managing the email by answering inquiries and all emails promptly, delegating clients to the appropriate Designer for each project
Making sure Designers are on track with their designated projects.
Stakeholder management: Keep in touch with everyone who has a stake in the project – like clients, sponsors, and other managers. Listen to their needs, tackle their concerns, keep them in the loop with regular updates, and answer any questions along the way.
Documentation and reporting: keep detailed records throughout the project
Assisting Designers with material sourcing or rentals while making sure this is prepared in advance in accordance with our project schedule
Dealing with occasional client feedback, positive or negative with patience and professionalism
Sending bills for payment to Owner
Scheduling Staff, Payroll, and freelancers
Sending receipts and invoices to accounting
Weekly status reports to the Owner
Compensation is $28/hr plus mileage and street parking expenses
Requirements:
Management experience, or logistical event planning experience
Floral design knowledge and floral event experience is an asset
Good level of professionalism and politeness, fluent english speaking and comprehension skills
Adaptability and problem-solving. Be able to think on your feet, come up with solutions quickly, and adjust to new challenges to keep things moving smoothly
Emotional intelligence. Ability to understanding and manage emotions, build trust, keep the team motivated, and resolve any issues in a positive way.
Attention to detail. Ability to catch the smallest mistakes to ensure everything is done right and meets all standards.
Decision-making. Ability to weigh options quickly, understand risks, and make smart choices.
Time management. Ability to assist in breaking down big projects into manageable tasks, figuring out how long each task will take, and setting realistic deadlines to make sure everything is completed on time.
Effective communication. ability to keep everyone updated, manage expectations, and smooth over any rough patches with clear, direct talk, and good listening skills
Negotiation and conflict resolution. Being good at finding solutions that work for everyone is a must
